How do I set-up individual access rights for the users?

In order to assign individual access rights to the users, install the “Flexible Security Access” add-on. This can be obtained in the Download Trial section of the site, under link Simply Contacts Database - Custom Configugration.

Once you have installed the Flexible Security Access and reopened your Simple Contacts Database you will be prompted to Login. The default User name is “Admin” the default password is blank:

 

 

 

 

 

To setup individual user accounts go to the Setup department (1) and select option "User List” (2):

 

From the Edit User List screen below (1) press button Add New User:

 

From the New User screen below fill in the fields User Id and Password, then press the Save button.

And then button "Setup Access Privileges":

The program will display access restrictions for this user. You can restrict the user by function group, such as Data Viewing/Editing, Mail Merge, Export etc and/or by contact records they can access. In the example below. By default, there are no restrictions:

In the Function Group field it is important that each user must have at least function group “Common” selected and at least one other function group. By leaving the Function Group field empty the default will give the user access to all functions. In this example we chose to limit user staff03 only data viewing/editing and mail merge functions. We can also limit this user by data they can work with. For example, to only give the user access to the state of Victoria, (1) click on the browse buttons to view options, (2) select the State “VIC” then (3) Click OK, to finish (4) click the Run button:

The new user “Staff03” will have access to 4 Function Groups but will only be able to access the contacts restricted to the State “VIC”.
